The Waupaca Dental Society ("Waupaca Dental Society," "we," "us," or "our") respects your privacy and is committed to protecting the personal information of our members, prospective members, event attendees, and website visitors. This Privacy Policy describes what information we collect, how and why we use it, when we share it, how we protect it, and the rights and choices you have. It applies to our website at waupacadentalsociety.com (the "Site"), our member portal, and communications we send you, including email and text messages.

By using the Site or providing us with your information, you agree to the practices described in this Privacy Policy.

1. Information We Collect

Information you provide directly. We collect information you give us when you sign up for membership, create or update a member account, register for meetings or continuing-education courses, make a payment, contact our office, or otherwise interact with us. This may include your name, professional title and credentials, practice or organization name, mailing address, email address, telephone and mobile numbers, and any information contained in messages you send us.

Account and membership information. When you hold a member account, we maintain records such as your membership status, dues and payment history, event and course registrations, and your communication preferences.

Information collected automatically. When you visit the Site, we and our service providers automatically collect certain technical information, such as your IP address, browser type, device information, pages viewed, referring pages, and the dates and times of your visits. We collect this using cookies and similar technologies (see Section 3).

Information from third parties. We may receive limited information from payment processors, event partners, or dental organizations with which we collaborate, consistent with this Privacy Policy and applicable law.

2. How We Use Your Information

We use the information we collect to:

  • Establish, manage, and renew your membership and member account;
  • Provide account security, including one-time passcodes (two-factor authentication);
  • Register you for, and send reminders about, meetings, courses, and events you have signed up for;
  • Process dues and event payments and maintain related records;
  • Respond to your inquiries and provide member support;
  • Send administrative messages, newsletters, and Society updates (you may unsubscribe from non-essential messages at any time);
  • Operate, maintain, secure, and improve the Site and our services; and
  • Comply with legal, regulatory, and professional obligations.

3. Cookies & Tracking Technologies

The Site uses cookies and similar technologies to keep you signed in, remember your preferences, maintain the security of your session, and understand how the Site is used so we can improve it. You can control or disable cookies through your browser settings; however, some features of the member portal may not function properly without them. We do not use cookies to sell your personal information.

4. Text Messaging (SMS) & Mobile Opt-In

If you provide your mobile number and check the consent box on our sign-up form, you consent to receive text messages from the Waupaca Dental Society, including account verification codes (2FA / one-time passcodes) and reminders for appointments, meetings, and events you have registered for. Message frequency varies. Message and data rates may apply. You may reply STOP to unsubscribe at any time, or HELP for assistance. Consent to text messaging is not a condition of membership. 5. How We Share Information

We do not sell your personal information. We share information only in the following limited circumstances:

  • Service providers. With vendors who perform services on our behalf — such as website hosting, member-portal software, payment processing, email delivery, and SMS delivery — solely to provide those services and under confidentiality obligations.
  • Professional and event partners. Where you register for a jointly offered course or event, with the partner strictly as needed to administer that event, and never for their independent marketing without your consent.
  • Legal and safety. When required by law, regulation, subpoena, or legal process, or to protect the rights, property, safety, and security of the Society, our members, or others.
  • Business changes. In connection with a merger, reorganization, or transfer of the Society's operations, subject to this Privacy Policy.

6. SMS Privacy Policy & Compliance

The mobile phone number and SMS consent of any end user who opts in to our text-messaging program will never be sold, rented, or shared with any third parties, affiliates, or lead generators for any purpose. Text-messaging originator opt-in data and consent is used solely to deliver the messages you have requested (account verification codes and reminders) and is expressly excluded from every category of information-sharing described in this Privacy Policy.

7. Payment Processing

Membership dues and event fees are handled by third-party payment processors. We do not store full payment-card numbers on our servers. Your payment information is processed by the payment provider in accordance with its own security standards and privacy policy. We retain only the transaction records we need for accounting and membership administration.

8. Third-Party Links

The Site may contain links to third-party websites and resources that we do not control. This Privacy Policy does not apply to those sites, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any third-party site you visit.

9. Data Retention

We retain personal information for as long as needed to provide our services, maintain your membership, comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. We retain records of SMS consent for the period required to document compliance. When information is no longer needed, we take reasonable steps to delete or anonymize it.

10. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption of the Site over HTTPS, access controls, and two-factor authentication for member accounts. No method of transmission or storage is completely secure, but we work to protect your data and limit access to authorized personnel.

11. Your Privacy Rights & Choices

  • Access and correction. You may request access to, or correction of, the personal information we hold about you.
  • Deletion. You may request that we delete your personal information, subject to legal and recordkeeping requirements.
  • Email. You may unsubscribe from non-essential email using the link in those emails or by contacting us. We may still send you essential account and membership messages.
  • Text messages. You may opt out of texts at any time by replying STOP.
  • State privacy rights. Depending on where you live, you may have additional rights under applicable state privacy laws, including the right to know what information we collect and the right to opt out of the sale of personal information (we do not sell personal information). 12. Children's Privacy

The Site and our services are intended for dental professionals and other adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will delete it.

13. Do Not Track

Some browsers offer a "Do Not Track" signal. Because there is no common industry standard for responding to these signals, the Site does not currently respond to them. We do not track your activity across third-party websites for advertising purposes.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised "Last updated" date, and where appropriate we will notify members.
